How Thena works

  1. Upgrade your ATS Integration to Enhanced Sync : This allows us to fetch application data from your chosen jobs.

  2. Add Thena to relevant roles: Your team can select which jobs and stages (e.g., "New Applicants") Thena should review. Data will be available typically in 1hr - you will be notified when the first sync has completed.

  3. Review filtered applicant data : Review applicants and adjust the filters to refine your search and highlight the best applications.

    If an applicant hasn't provided salary, visa, security clearance or location data then this will be clearly marked on their profile.

  4. Progress top applicants: Once you’ve identified the best applicants, you can seamlessly progress them through the to the next stage directly in your ATS by simply clicking on their profile.

What data does Thena access?

  • Applicant Resume

  • Answers to Screening Questions (if provided)

    • Typically includes salary, location, visa, and security clearance data

  • Rejection Reasons

Data Storage

Each job posting on hackajob creates a separate, secure database to store the application data in order to assess and visualise each application in hackajob. Applications are stored securely and separately for each role while the applicant is still in the selected stage, and an anonymised record is kept as the application progresses to help us continuously improve our platform.

Data Retention

We retain the following data for each role until an application moves out of the selected stage:

  • Applicant First and Last Name

  • Applicant Resume

  • Answers to Screening Questions (if provided)

If an application is deleted from your ATS, the associated data is deleted from hackajob as well.

Example:

If you add Thena to a Java Developer role and ask her to review applications in the "In Review: New Applications" stage:

  1. Thena will review 100 applications.

  2. You select the top 6 candidates that meet the requirements.

  3. As you progress these 6 candidates through to the next stage, their application data is removed from hackajob.

How are applications ranked?

Thena uses multiple criteria to rank applicants, ensuring the best matches are presented to your team.

  1. Application Filtering:

    Applications are first filtered by essential criteria like salary range, location, visa status, and security clearance - provided the data is available from the application, normally via Screening Questions.

  2. Skills and Background Assessment:

    After filtering, the remaining applications are assessed based on the specific skills and background required for the role.

  3. Ranking:

    Applicants are ranked with the applications that meet the most must have and nice to have requirements at the top

What if a candidate hasn’t provided data?

You can choose to disable certain filters to view applications that may have missing or unknown data. This allows you to see all candidates, even those without fully completed profiles.
