Archer Reporting in Ashby: Setup Guide
Last updated: October 8, 2026
Archer · October 2026
Overview
Three simple Ashby reports, added to one dashboard and sent on a schedule, give you and your Archer team a clear view of how Archer candidates are performing. Setup should be easy, and your Archer Forward Deployed Engineer (FDE) can walk through it with you.
Question it answers | Report | Lagging or leading |
|---|---|---|
How far through the process do Archer candidates get? | 1. Candidate progress | Lagging |
How do Archer pass-through rates compare with your other sources? | 2. Pass-through rates by source | Lagging |
Who is in which stage right now? | 3. Candidates currently in stage | Leading |
Reports 1 and 2 mostly reflect candidates who have finished their process, so results build up over time. Report 3 shows your live pipeline and is the earliest signal of progress.
Before you start
Confirm the Archer source name. Check exactly how the Archer source appears in your Ashby account. Every report filters on it.
Check your interview stage groups. Ashby lets you bundle individual interview stages into stage groups. For example, a "Take-home task" group might hold "Data science take-home" and "Engineering take-home".
Report on stage groups rather than individual stages. A small difference in a stage name (a typo, a capital letter) would otherwise split your data.
If you don't use stage groups yet, we recommend setting them up before reporting starts.
Agree a start date. Use the date you started working with Archer.
Report 1: Candidate progress
Shows the furthest stage each Archer candidate reached, per job.
Setting | Value |
|---|---|
Subject | Job considerations |
Filter | Source = Archer |
Columns | Started at · Job · Furthest stage group reached |
Report 2: Pass-through rates by source
Compares stage-to-stage conversion for Archer against your other sources. The visualisation settings matter here, so set them exactly as below.
Setting | Value |
|---|---|
Subject | Job considerations |
Start date | The date you started working with Archer |
Breakdown fields | Job consideration source · Job |
Visualisation settings
Setting | Set to |
|---|---|
Group by outcome | Off |
Group by stage outcome | Off |
Hide empty stages | On |
Hide lead stages | On |
Include group stages | On |
Hide review stages | Off |

With these settings, the report includes candidates still in process as well as those who have finished.
Report 3: Candidates currently in stage
Shows where every live Archer candidate is today.
Setting | Value |

Sharing the reports: scheduled dashboard
The best way to share these reports is to add all three to an Ashby dashboard and schedule it to send automatically. Once set up, there's nothing further to do each week.
Why a dashboard rather than CSV exports? Each report can be downloaded as a CSV, but the pass-through percentages and Ashby's split between active and ended considerations don't carry over into an export. You'd get raw stage counts only, and the rates would need to be recalculated by hand. A dashboard send keeps the view exactly as you see it in Ashby.
Step 1: Build the dashboard
Create a new dashboard in Ashby.
Add Reports 1, 2 and 3 to it.
Drag each report out to its full size, leaving plenty of space below it.
The scheduled send is a PDF snapshot of the dashboard. Inside Ashby you can scroll within a small report tile, but the PDF only captures what's visible, so anything outside the tile is cut off. Leave extra room, especially for the pass-through report, which grows as more candidates move through.
Step 2: Schedule the delivery
Open the Scheduled dashboards workflow.
Choose the dashboard and set the cadence (we suggest weekly).
Choose email delivery. The recipient list starts with your Ashby users; add your Archer contacts' email addresses too.
Add a title and message, e.g. "Weekly Archer report".
Save. You can also send it straight away to check how it looks.
You can set up more than one schedule, with different recipients or cadences, and Ashby can also deliver to a connected team chat channel if you share one with your Archer team.
Testing
☐ Send the dashboard once manually.
☐ Open the PDF and check every report is shown in full, with nothing cut off.
☐ Confirm your Archer contacts received it.
Tips
Stage groups first. Without stage groups, small naming differences split candidates across rows.
Leave room to grow. If a report starts getting cut off in the PDF, make its tile larger on the dashboard.
Lean on Report 3 early on. It shows momentum before hires and rejections come through in Reports 1 and 2.
Check the settings. If the pass-through numbers look off, compare the visualisation settings with the table above.
